TAXES / THE ALPENROSE GUIDE
German taxes: understand your first payslip and return
Separate payroll deductions from your annual tax return, understand the key documents and find the right next step for your first tax year in Germany.

Your first German payslip may show several deductions before the amount that reaches your bank account. It is tempting to call the whole difference 'tax'. That makes the next questions harder: what payroll has already deducted, what the annual return does and which records you should keep.
Start by separating three jobs. Payroll calculates deductions on employment income. You keep evidence about your wider situation during the year. The tax office assesses the annual return where one is submitted or required. Understanding these roles is more useful than trying to memorise every tax term before your first salary arrives.
Find the numbers that identify you
Your personal tax identification number, Steuer-ID or IdNr, is an eleven-digit number that remains with you for life. It is different from the Steuernummer used by your tax office for a tax case. The BZSt provides a route to request another notification of your identification number if you cannot find it. When payroll asks for information, check which number it needs and send it through the employer's normal secure channel. Keep the original notification where you can find it again. A name change, a move or a missing letter is a reason to check the recorded details, not to invent another number or reuse somebody else's.
Read the payslip in stages
Employment pay is usually discussed as gross salary. The transfer to your bank account is the amount after applicable deductions and adjustments. Wage tax, Lohnsteuer, is collected through payroll, while social-insurance contributions fund separate systems. A solidarity surcharge or church tax may also appear where applicable. The federal employment portal explains these components. Make it in Germany: salary, taxes and social security
Look for Gesamtbrutto, the total gross remuneration, and the tax and social-insurance assessment amounts, often labelled Steuerbrutto and SV-Brutto. They may differ. Nettoentgelt follows statutory deductions; Auszahlungsbetrag reflects the final payment after further relevant additions or offsets. The payroll statement regulation distinguishes these amounts. Employer contributions are not simply another deduction to subtract from your displayed payment. Entgeltbescheinigungsverordnung section 1: payroll statement
Here is an invented reconciliation, not a German tax calculation: EUR 3,000 gross less EUR 800 in deductions leaves EUR 2,200. Add an expense reimbursement of EUR 50 and subtract a EUR 100 advance already paid, and the transfer is EUR 2,150. The example shows why comparing the bank transfer only with the first 'net' figure can mislead you.
If the amount looks wrong, compare the pay period, start date and any one-off payment with your contract. Ask payroll: 'On my statement for [month], line [name] is EUR [amount]. Please explain its calculation and whether it includes an adjustment or a payment already made.' Identify the line before deciding that a tax class must be wrong.

Understand what a tax class does
Tax classes are used in calculating wage-tax deductions. A change can alter the money received during the year; it does not by itself establish that the final annual tax will be lower. The annual assessment takes the relevant income and circumstances into account. Keep monthly cash flow and annual tax liability as separate questions. EStG sections 36 and 39b: annual tax and payroll withholding
If your marital situation changes or you have more than one employment, check the recorded payroll characteristics and whether you need to take action through the tax office or Mein ELSTER. Avoid choosing a tax class from somebody else's refund story. Their household income and deductions may be quite different from yours.
A cross-border year needs its own check
Under section 1 EStG, having a residence or habitual abode in Germany generally creates unlimited German income-tax liability. People without either can still have limited liability for certain German income. Nationality alone does not settle the answer, and a simple '183 days' count is not a complete test of your situation. EStG section 1: income-tax liability
If you moved during the year, worked remotely across borders or kept income abroad, prepare a timeline of where you lived and worked and when each payment arose. Ask a tax adviser how the relevant treaty and German rules apply. Do not omit foreign income merely because it was paid before your first German payslip, or assume that every foreign payment is taxed twice.
Establish whether you must file
Having wage tax deducted does not always remove the need for a return. Section 46 EStG lists circumstances for employees, including certain additional income or income-replacement benefits exceeding EUR 410, simultaneous employment with several employers and specified combinations involving spouses' payroll tax classes. The conditions are detailed; this is a starting point, not an exhaustive eligibility test. EStG section 46: assessment of employment income
If the Finanzamt asks you to file, take the request seriously even if you thought a return was optional. Section 149 AO also establishes an obligation following such a request. For mandatory calendar-year returns, the ordinary unadvised deadline is generally seven months after year end. Represented cases, transitional rules and individual requests can change the applicable deadline. Confirm the year and your actual due date. AO section 149: filing duties and deadlines
Put the confirmed deadline and the person responsible in your calendar. If a deadline has already passed, contact the tax office or your adviser promptly. Do not wait for next year's return to address the missing one. A voluntary-return opportunity and a mandatory filing deadline are different situations.
Build a small, usable tax folder
Keep the annual Lohnsteuerbescheinigung supplied by the employer, relevant income statements, insurance certificates and evidence for expenses you intend to claim. Also retain the move-and-work timeline if your year crosses borders. A claimed expense needs the right context: a receipt alone does not establish that the whole amount is deductible.
Use the official Mein ELSTER service if it fits your filing situation, or an appropriate adviser or filing service. Registration and the right form are separate from completing a return correctly. Save the submission record and a copy of what you sent. A spreadsheet estimate or an unsent draft is not evidence that the Finanzamt received the return. ELSTER: official forms and services
Read the assessment after filing
The Steuerbescheid is the tax office's assessment. Compare the recognised income, deductions and result with your submitted return and note the payment date or refund information. If something differs, read the explanation before assuming it is an error. The general objection period is one month after notification; use the notice's appeal instructions to establish the exact deadline. AO section 355: objection period
Keep payroll questions with payroll and assessment questions with the Finanzamt or your tax adviser. Alpenrose's guides can help you organise the financial questions around a move; the assessment of a personal tax case belongs with an authorised tax professional or the tax authority.
The payslip worksheet helps you reconcile the statement with your bank payment. The first-month budget then lets you plan with the money you actually receive. Do not count an expected tax refund as cash already available for rent or a deposit.
Official sources checked on 10 September 2026. This guide provides orientation; filing duties and deadlines depend on the tax year and your circumstances.
